RELATIONSHIP MANAGEMENT DUTIES:
Assist in all aspects of client service, including preparing and distributing reporting packages and presentations, and answering client inquiries Maintain client-tracking system
Update presentations + collateral materials
Assist preparation for all client update meetings and conference call
Utilize various marketing software tools + vendors Assist development of institutional section of Web site, Extranet + Intranet
OFFICE ADMINISTRATION DUTIES:
Oversight of, and when required, preparation of accounts payable documentation for authorization, preparation of checks for signature, ensuring relevant documentation is delivered to Finance Department, global office in a timely fashion.
Maintain records of licensing details for the company and all licensed representatives. Ensure that all related licensing documentation is submitted to the regulators on a timely basis with liaison with Legal Department, internal and external legal advisers as necessary.
Act as interface as required with IT Department, international and local external IT provider More generally, assist the Representative in Japan in fulfilling his responsibilities, as required.
Will handle calendar management, travel arrangements, organizing and hosting office events, preparing T&E reports, providing phone coverage for Japan office Act as the office receptionist (when guests are expected) and answering the main telephone line
Manage office supplies and equipment Arrange for new joiners and leavers, e.g. workstations, company properties, access cards, name cards, email accounts, etc.
Other general office support functions as directed.
